Terracraft Outdoor Care LLC — Customer Terms of Service
Effective Date: January 1, 2026
1. Acceptance of Service and Binding Agreement
- Approval of an estimate by signature, written confirmation via email or text, payment of any portion of an invoice, or the commencement of work on the property constitutes full acceptance of these Terms of Service. This forms a legally binding agreement between the client and Terracraft Outdoor Care LLC.
- Terracraft reserves the right to update these Terms at any time to reflect changes in law, business practices, or operating costs. The client’s continued request for or acceptance of services following notification constitutes binding agreement to the subsequent terms.
2. Philosophy and Professional Standards
- Terracraft is a professional property care partner focused on craftsmanship and long-term soil health. We are an LLC rooted in consistency, mutual respect, and clear communication, prioritizing Florida-specific environmental standards including Green Industries Best Management Practices (GI-BMP) and Florida Friendly Landscape Commercial Professional (FFLCP).
- Whether you’re a homeowner or managing a property for dozens, we’re here to keep things simple, reliable, and beautifully maintained. We’re not a fly-by-night lawn crew. We’re your property care partners. Whether it’s your front yard or an entire HOA, our work is rooted in consistency, communication, and craftsmanship.
3. Subscription Tiers and Billing Cycles (yearly contacts)
- Basic Subscription: Includes mowing, edging, string trimming, blowing off hard surfaces, & hedge trimming. This plan is billed at the end of each month for regular services performed during that month or is prepaid monthly at the start of each service cycle.
- Standard Subscription: Includes all core maintenance services plus other pertinent add on services, priority scheduling and proactive make-up visits. This plan is prepaid monthly at the start of each service cycle.
- Premium Subscription: Includes all standard services plus pressure washing, intensive maintenance, and specialized care using, in example, quiet electric equipment or hand-snipping for multiple aspects of the property. This plan is prepaid monthly at the start of each service cycle.
4. Price Review & Adjustments
- Service rates are reviewed and may be adjusted no more than once per calendar quarter to account for changes in operating costs, including but not limited to fuel prices, labor costs, and materials.
Clients will receive at least 14 days’ written notice of any price adjustment.
- For extraordinary, unforeseen cost spikes (e.g., sudden fuel shortage, supplier rate hike), Terracraft reserves the right to apply a temporary fuel or material surcharge. Any surcharge will be clearly communicated in writing before application and will be removed once costs stabilize.
5. Payment Terms and Project Deposits
- All accounts are Net 15: payment is due within 15 calendar days of the invoice date. Late payments incur a $10 fee for routine maintenance or a 10% fee for project-based work if not paid within the calendar day of completion. Non-payment beyond 31 days may result in service cancellation or a lien on the property.
- For irrigation maintenance, sod, hardscape, tree work, and pressure washing: a 50% deposit is required for jobs exceeding $300, with the balance due immediately upon completion. Rates are reviewed quarterly and may be adjusted based on labor, fuel, or material costs with 14 days of written notice.
6. Accepted Payment Methods
- Payments are accepted via Zelle, ACH, or Credit/Debit via Square (3.0% processing fee).
- Commercial clients may pay via check mailed to P.O. Box 1185, Edgewater, FL 32132.
- Residential checks are accepted only if handed directly to the Owner/Project Manager or mailed to the P.O. Box listed above.
- Checks may not be left on-site, in mailboxes, or under mats.
- Terracraft is not responsible for checks lost or stolen due to improper delivery.
7. Maintenance Schedule and Access
- Service occurs Monday through Friday (7:00 AM to 6:00 PM) and Saturday (9:00 AM to 4:00 PM). Maintenance includes approximately 42-50 visits per year: weekly from April through November and bi-weekly from December through March.
- We operate on a "No Skip" policy: monthly payment is due regardless of client presence or preference. Terracraft reserves the right to substitute a mowing visit for other maintenance tasks based on seasonal growth.
- Please ensure all gates are unlocked: we will not climb fences. Missed service due to inaccessibility is fully billable, and a gate fee of $45 to $50 applies for unscheduled service requests.
8. Communication and Site Requirements
- Text messaging is strictly reserved for urgent, day-of issues like gate access or weather updates. All project planning, scheduling, and non-urgent business must be conducted via email to prevent field delays and protect project timelines.
- Clients must clear work areas
of pets, toys, and debris before service. Terracraft may take before/after media for quality assurance or marketing: no identifying info will be shared without consent.
9. Service Warranties and Liability
- Irrigation maintenance work is warranted for 30 days on parts and labor: excluding damage from misuse, pests, or unrelated system failures. Sod is guaranteed only on the day of installation: the client is solely responsible for proper watering thereafter. Tree work is limited to trees under 20 feet tall unless agreed in writing. All other work is warrantied for 48 hours after completion.
- Terracraft is fully insured but is not responsible for damage to unmarked private utilities: including irrigation, low-voltage lighting, or invisible fences. Property damage must be reported within 48 hours for resolution.
10. Cancellations and Legal Provisions
- Maintenance subscriptions require 30 days of written notice for termination. Project deposits may be forfeited if cancellation occurs within 48 hours of the start date. Clients agree not to solicit or hire Terracraft employees or subcontractors for 12 months following termination.
- Any dispute shall be resolved through binding arbitration in Volusia County, Florida, under American Arbitration Association (AAA) Commercial Rules. Terracraft is not liable for delays caused by Force Majeure: including severe weather, natural disasters, or labor disputes.
11. General Policies
- Service Hours
Monday–Friday: 7:00 AM – 6:00 PM
Saturday: 9:00 AM – 4:00 PM
Sunday: Closed
Lawn Care Schedule (No Skips)
Lawn Maintenance is performed on a fixed schedule:
Weekly from April through November
Bi-weekly from December through March
This schedule provides approximately 42-50 visits per year. Services are performed in regards to seasonal growth patterns to maintain appearance, prevent overgrowth, and ensure consistent route scheduling.
Skips are not permitted, and full monthly payment is due whether or not the client is present or chooses to have the lawn cut.
Service may arrive within a window, not an exact time, due to route optimization.
Gate Fee / Off-Schedule Access
A base gate fee of $45–$50 may apply if we’re asked to drop the trailer gate and service your property outside your normal route day or subscription schedule.
It covers the cost of setup, time, and fuel for unscheduled visits.
Access Requirements
Please ensure all gates, fences, and work areas are unlocked and accessible. We will not climb fences or access restricted areas unless agreed upon in advance. Missed service due to inaccessibility may still be charged.
Terracraft may take before/after photos/videos for quality assurance, training, or marketing. No identifying info or private areas will be shared without consent.
